The Importance of Engaging the Conference Attendee and Addressing Their Specific Needs

Emerging professional planners, join us on Wednesday, August 20, for The Importance of Engaging the Conference Attendee and Addressing Their Specific Needs for three roundtable discussions with meeting industry experts, followed by a reception.

Topic 1: Designing Memorable Meals for the Special Needs Attendee
Gluten-free, vegetarian, kosher, allergies… In today’s planning “world” we are coming across more attendees with allergies and special meal requests. This roundtable will address how to design a meal plan that is suitable for all attendees, and how to manage those who may need special attention. Chefs are becoming more flexible with customization, and this session will address how you can partner with your venue’s catering team to create a menu that is pleasing (and safe) for everyone.

     Key learner outcomes:
        • Learn about types of allergies, and special meal requests
        • Understand how chefs are handling the requests, and customizing menus to meet           your guidelines
        • Learn creative ways to collect this information so you are not surprised at the event

Topic 2 : Addressing the Different Learning Styles of Attendees
Designing a program takes valuable time and consideration of who is included in your audience. Not everyone learns the same, and it is important to consider all types of learning styles when creating your program. Are your attendees visual, auditory, or kinesthetic learners? Do they prefer small-group, large-group or mass learning formats? Planners have to be aware of their audience before creating the program.

     Key learner outcomes:
        • Know the different styles of learning
        • Identify which program format is suitable for each learning style
        • Learn to create an environment that is conducive to all learning styles

Topic 3: Accommodating Special Needs Attendees – Working to meet ADA Standards
The Americans with Disabilities Act (ADA) has clear standards on how to accommodate persons with disabilities. Meeting managers must be proactive in selecting facilities and making arrangements for those with disabilities. This session will highlight best practices to make their meetings accessible.

     Key learner outcomes
        • Understand how the ADA affects meeting professionals
        • Learn the required accommodations for wheelchair users, deaf and hearing           impaired, blind and visually impaired, and other disabilities
        • Learn the meaning of reasonable accommodation
